Privacy notice

Introduction

The privacy of personal information belonging to our alumni is very important to us. We collect, use and store personal information about alumni on the Evelyn Partners Alumni website in line with data privacy laws applicable in the UK, Ireland and the Channel Islands (collectively referred to as DP Law). 

This Privacy Notice describes how we collect and use personal information about you on the Evelyn Partners Alumni website. We may update this Privacy Notice from time to time without notifying you.  However, if there are major changes to the way in which we use your personal information, we will bring it to your attention.

For the purposes of DP Law, the controller of your personal information is the Evelyn Partners group and/or any part of the Evelyn Partners group of companies. This includes Evelyn Partners Services Limited, Evelyn Partners Services (Ireland) Limited, Evelyn Partners Channel Islands Limited or Evelyn Partners International Limited, your former employing entity or partnership as above or Evelyn Partners Professional Services LLP and/or Evelyn Partners Investment Management LLP. 

We will only collect, use and store your personal information for specific and legitimate purposes. We collect and use personal information that is received from you or which we gather about you during your interactions with us on our Alumni website.

Except as stated below, we confirm we will not disclose or transfer your personal information to any third party for any purpose.


How do we collect information about you?

We collect personal information about you through your application on our Alumni website. 

We will collect additional personal information from you in the course of our interactions throughout the period you are signed up as an Alumni, for example:

  • by submitting an application to join the Alumni network;
  • by uploading your photograph; or
  • by providing personal information to enhance your profile.

Types of information we process about you

The information we collect from you may include:

  • contact information such as your name, title, address(es), personal email address(es) and phone number(s);  
  • photographs;
  • details about your current employment, line of business, board memberships; 
  • details of your qualifications, skills and experience;  
  • details of your employment with Evelyn Partners, including your email address, management level, city where you worked, line of business, job title, as well as when you joined and left Evelyn Partners; and
  • any other information gathering methods employed by Evelyn Partners from time to time.

We receive information from

  • Other Evelyn Partners group companies 
  • Third parties who provide services to you or us (e.g. LinkedIn, Enterprise Alumni) 

How will we use the information we collect about you?

We use the personal information about you for a number of reasons:

Where it is in our or a third party’s legitimate interests, as listed below, and where these interests are not overridden by your fundamental rights and freedoms

Implementing appropriate physical and electronic security

  • for ensuring security and identity verification; and
  • for maintaining the security of our Alumni Platform. 

Administration and business management

  • to communicate with you; and
  • to deal with any problems or concerns you may have.

Fraud / crime prevention and detection

  • to prevent and detect crime or fraud; or
  • to provide information to the authorities or regulators if requested during an investigation.

With your consent

When it is required, Evelyn Partners will seek permission from you to use your personal information. If at any time you wish us to stop using your personal information, please contact us using the contact details below. 

If you withdraw consent, it will not affect the lawfulness of any processing that we carried out before your withdrawal. 

By signing up to our Alumni Portal, you consent to us capturing and using your information. If you sign up by connecting with LinkedIn and your information is automatically populated from LinkedIn, we consider that you have consented to providing us with your personal information in this way. 

We will specifically ask for your consent to promote our business or send you newsletters or promotional materials.

If, at any time, you have any queries about, or wish to object to, the way Evelyn Partners uses your personal information, please contact dataprivacy@evelyn.com.

Providing third party information to us

Sometimes we receive personal information relating to third parties, for example if you refer other Alumni that you are connected to. When this information is provided to us, we expect that you have obtained any necessary permissions from such persons to the reasonable use of their personal information for the purposes referred to in this Privacy Notice.

Who do we share this information with?

Evelyn Partners will not usually disclose information about you outside Evelyn Partners without your prior consent, except where that disclosure is necessary for the administration of your contract to provide services, contractual or legal obligations, or for the purposes of processing set out in this Privacy Notice. For example, it may be necessary that Evelyn Partners disclose Alumni’s personal information to:

  • Evelyn Partners Group companies
  • Our service providers who act only on our instructions (e.g. service and software providers, IT and hosted services) including their sub-contractors
  • The representatives of a potential buyer, transferee, merger partner or seller if we wish to buy, sell, transfer or merge part or all of our business or assets
  • Another individual where we collected your information as part of responding to a data subject access request and under the circumstances it is not reasonable to withhold your information
  • Law enforcement agencies (for example in the event of a criminal investigation)

We take all reasonable steps to keep Alumni’s personal information confidential. We will take appropriate steps to both store and send the information you provide us with securely. We will ensure that all third parties we use to help us provide services to you are also compliant with DP Law.

Cross border transfers of personal information

Personal information in our possession may be transferred to other countries (which may include countries outside the UK, Ireland or Jersey). 

These countries may have differing (and potentially less stringent) laws relating to the degree of confidentiality afforded to your information and information can become subject to the laws and disclosure requirements of such countries, including disclosure to governmental bodies, regulatory agencies and private persons, as a result of applicable governmental or regulatory inquiry, court order or other similar process. 

In the event of a cross border transfer, we will make sure transferring that information is lawful and will only occur where:

  • we have your consent to share, or the transfer is otherwise legally allowed;
  • the transfer is to a country that offers adequate data protection; or 
  • appropriate legal safeguards have been put in place in accordance with DP Law.

Security of your information

We will take appropriate steps to both store and send the information you provide us with securely. Colleagues are trained on and are aware of their responsibility to maintain data privacy.

We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. They will only process your personal information on our instructions and they are subject to a duty of confidentiality.  

We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.

Updates to personal details and retention of your personal information

We aim to ensure that the details we hold about you are accurate at all times and ask that you update your details periodically via User Settings.

Evelyn Partners will only keep Alumni’s personal information and other information for as long as it is necessary. Please let us know if you would like us to delete your information. 

What are your rights in relation to the personal information we hold about you?

This section explains the rights you have under DP Law with respect to how your personal information is held and used by us. If you wish to exercise any of these rights or if you would like further information about them, you can contact us using the details set out in the ‘Contact us’ section below. 

It is important that the personal information we hold about you is accurate and current. Please keep us informed if your personal information changes during your working relationship with us.

You have the right to withdraw your consent to us processing your personal information at any time. This will not affect the lawfulness of any processing of your personal information that we carried out before your withdrawal. 

You have the right to ask for a copy of the personal information we hold about you in a written format, free of charge, by contacting us at dataprivacy@evelyn.com and making a subject access request.

You have the right to have the personal information we hold about you erased in certain circumstances.  

Finally, you have the right to lodge a complaint about how we collect, process and store your personal information. You can do so by writing to this address:

These supervisory authorities usually request that you raise the concern with the controller in the first instance, so we recommend that you speak to us first.

Changes to our Privacy Notice

We keep our Privacy Notice under regular review and we will update this document from time to time. If there are major changes we will tell you about it. This Privacy Notice was last updated December 2023.
